1. Introduction

1.1 Acceptance of Terms and Booking Fee

By using our services or making a booking with us, you confirm that you accept and agree to comply with all applicable terms, conditions, and general provisions. A fixed, non-refundable fee must be paid to confirm and secure your booking. These terms and conditions are subject to English law and the exclusive jurisdiction of the English courts.

1.2 Booking Requirements

1.2 (a) Deposits:
All deposits paid towards a booking are strictly non-refundable.

1.2 (b) Travelling Minors:
Passengers under the age of 18 are not permitted to travel alone. They must be accompanied by an adult aged 18 or above or by their legal guardian. If a minor is travelling without a parent but is accompanied by a legal guardian or another family member, they must carry a valid child travel consent letter with them for the entire duration of the tour.

1.2 (c) Bookings Through Travel Agents:
Where a booking is made through a travel agent, the agent is responsible for retaining the non-refundable deposit and any other payments made. GK Tours will not be liable for any money paid to a travel agent that has not subsequently been transferred to GK Tours.

1.2 (d) Payment for Tours Starting Within 14 Days:
For tours due to begin within 14 days, payment must be made by card or cash only. Bank transfers and cheque payments will not be accepted during this period.

1.3 Formation of the Contract

A legally enforceable agreement between you and GK Tours comes into effect once you make a booking with us or use any of our services.

1.4 Baggage Allowance

Each passenger may bring one item of luggage weighing no more than 23 kg and measuring no more than 90 x 75 x 43 cm. Additional luggage may be accepted where sufficient space is available and will be subject to additional charges. Any excess baggage that cannot be accommodated must be removed or stored at the traveller’s own cost.

1.5 Terms and Conditions of Suppliers

Our service providers, including accommodation and transportation companies, may have their own terms and conditions. These terms apply to your dealings with the relevant provider and may restrict or exclude the provider’s liability towards you. Copies of the applicable terms may be requested from our offices or obtained directly from the relevant supplier.

1.6 Seating Policy

1.6 (a) Seat Allocation:
GK Tours reserves the right to assign or change passenger seating at any time, including after boarding has commenced. Specific seat requests cannot be guaranteed or accepted.

1.6 (b) Front Seats:
On selected tours, front-row or front seats may be available to purchase. Any such seats are subject to the separate Front Seat Terms and Conditions.

1.7 Group Bookings

If you wish to travel together with particular individuals, all members of the group must make their bookings using the same booking reference and select the same pickup location.

1.8 Differences in Facilities and Amenities
The facilities and amenities provided on coaches, at accommodation, and through other services may differ between passengers, even where passengers are travelling on the same tour or staying at the same hotel.
1.9 Child Car Seats
Children under 11 years of age or those measuring less than 135 cm in height are required to travel in an appropriate child car seat. Providing a suitable car seat is the responsibility of the passenger or accompanying adult. If an appropriate car seat is not provided, boarding may be refused in accordance with the laws and regulations of the countries included in the tour.

2. Cancellation Terms

2.1 Cancellation Notice

If you or any member of your travelling party wishes to cancel the holiday, the lead passenger must provide written notice of the cancellation either directly to us or to the travel agent through whom the booking was made.

2.2 Cancellation Fees

Once written cancellation notice has been received, the applicable cancellation fee will be charged in accordance with the table below. The amount payable will depend on the date on which the written cancellation notice is received.

Cancellation charges may apply in circumstances including, but not limited to:

  • a) Failure to make payments in accordance with the agreed tour payment schedule.
  • b) Refusal or denial of a visa for any country included in the tour itinerary.
  • c) Being unable to travel for reasons such as illness or medical circumstances, bereavement, jury service, or other circumstances. Please contact us for further information regarding the circumstances covered by our cancellation policy.

The percentages shown above are calculated against the total cost of the holiday and do not include insurance premiums or other additional expenses. Such additional costs may remain payable in full, including, but not limited to, visa fees, courier charges, and postal expenses.

Payment Details

All payments made via the online booking portal must be in UK Sterling. If you opt to pay with a non-UK/EU bank debit/credit card or a FOREX/Pre-paid card, be aware that you will bear any surcharges/fees levied by your issuing bank or building society and a 2% card fee. Transactions made with Business or Corporate cards will incur a 4% surcharge.
